1. Who we are

SaloneSchool is a school management platform used by schools in Sierra Leone. Each school using SaloneSchool is responsible for the records it collects about its students, parents, teachers and staff. SaloneSchool processes that data on the school’s behalf.

2. What data we collect

  • Identity details: names, dates of birth, gender, passport photos, admission and employee numbers.
  • Contact details: parent/guardian phone numbers, email addresses and home addresses.
  • Academic records: grades, attendance, report cards, transcripts and certificates.
  • Financial records: fee payments and receipts.
  • Account and security data: sign-in times, IP addresses and device information.

3. Why we use it

  • To run school activities: enrolment, teaching, assessment, reporting and fee collection.
  • To keep parents informed about their child’s progress, fees and school announcements.
  • To protect accounts and detect suspicious sign-ins.

We never sell personal data or use it for advertising.

4. How we protect your data

  • All data is encrypted in transit (HTTPS) and stored on secure cloud servers.
  • Role-based access: each person sees only what their role needs. For example, parents see only their own children.
  • Sign-in is handled by a secure login provider. Passwords are never stored by your school.
  • Each school’s data is kept separate from other schools.
  • Sign-ins, grade changes and administrative actions are recorded in audit logs.
  • Official documents carry QR-code stamps so their authenticity can be verified.

5. Sierra Leone laws we follow

  • The Constitution of Sierra Leone, 1991, Section 22, which protects the privacy of the home and other property, and of correspondence.
  • The Cyber Security and Crime Act, 2021, which criminalises unauthorised access to computer systems and data.
  • The Child Rights Act, 2007, which requires that a child’s best interests come first. We take extra care with student records.
  • The Right to Access Information Act, 2013, for information that public schools hold.
  • The Education Act, 2004, and Ministry of Basic and Senior Secondary Education (MBSSE) guidance on school records.

We also follow internationally recognised data protection principles: collect only what is needed, keep it accurate, store it securely, and delete it when it is no longer needed. We will update this policy to comply with any new national data protection law.

6. Who we share data with

Data is shared only with authorised school staff, parents/guardians of the student concerned, and the service providers that run the platform (hosting, email and messaging). When the law requires it, we may share data with examination bodies (such as WAEC) or government authorities.

7. How long we keep data

Academic records are kept for as long as the school requires them for official purposes. If a school stops using SaloneSchool, its data is permanently deleted after the notice period stated in its subscription terms.

8. Your rights

  • Ask to see the personal data held about you or your child.
  • Ask for incorrect information to be corrected.
  • Ask for data to be deleted when there is no legal reason to keep it.
  • Complain to your school administrator about how your data is handled.

To make a request, contact your school administrator or principal.
